Under general direction from the Payroll Supervisor, the payroll representative is responsible for all tasks necessary to accomplish the organization’s multi-state payroll processing objectives with a high degree of confidentiality. This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations. This position processes all payroll related time entry, tax deposits, reports, benefit deductions, W2s and audit document requests.

HERE’S WHAT YOU WILL BE DOING:

As an integral member of the Payroll Team, this position is responsible for:

Responsibilities and Requirements

• Prepare and process various payroll cycle for multiple states.
• Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts.
• Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
• Maintains employee confidence and protects payroll operations by keeping information confidential.
• Work with Payroll Supervisor to determine payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.
• Research laws and regulations regarding taxes and payroll withholding procedures.
• Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
• Resolve payroll discrepancies, irregularities and reconcile payroll to general ledger.
• Prepare payroll journal entries.
• Responsible for payroll systems maintenance.
• Maintain employee leave balances, benefit payroll deductions, and garnishments.
• Review quarterly payroll tax reports for federal and multiple states.
• Comply with local, state, and federal payroll regulations and respond to questions and special requests from regulatory agencies.

Basic Qualifications

• High School Diploma or GED; Associate degree or equivalent from a two-year college or technical school preferred.
• 1-3 years payroll processing experience.
• Thorough understanding of payroll processing, procedures, and payroll tax reports.
• Proficiency with Microsoft Outlook, Excel, and Word.
• Must maintain strict confidentiality of all information.
• Must be able to communicate clearly, both written and orally to employees and management.
• Must be able to prioritize and plan work activities, accuracy in work & detail oriented.
• Team orientation with respect for others.
